Program Assistant Prevention Programming

Full-Time

Essential Functions:

-Completes administrative support functions in a timely manner, as assigned by supervisor

-Provides Learning Management System (LMS) coordination and support for MHFA OK trainings through the MHFA Connect system, including:

  • Creating courses and learner accounts
  • Providing technical support to learners as needed
  • Collaborating with Program Manager, instructors, and partner agencies to ensure course is properly completed and reported
  • Communicates with the National Council for Mental Wellbeing to assist learners and submit help requests

-Provides support for community engagement events including:

  • Staffing booths at community events to distribute resources and/or information
  • Assisting with setup and/or being present for MHFA trainings
  • Setting up and assisting with events held in the DCCCA OK training room

-Manages the DCCCA OK office and team needs including:

  • Ordering office and program supplies 
  • Ensuring timely payment of vendor invoices
  • Booking vendors for building maintenance services
  • Booking travel for team (flight, hotel, conference registration)
  • Daily office tasks such as, but not limited to, checking mail, answering calls, accepting packages, monitoring shared email accounts

-Assists with program supplies distribution and inventory including:

  • Maintaining inventory of available supplies
  • Gathering supplies for community events or trainings
  • Coordinates supply pickup/drop-off for instructors
  • Reporting distribution numbers to relevant Program Specialist (as needed)

-Operates social media accounts for CBS programs as needed, including creating content and checking engagement

-Provides support to Oklahoma and Kansas Community Based Services projects as needed, with supervisor approval

-Oversees company owned vehicle maintenance

Education, Experience, and Licensure

-Requires a high school diploma or General Education Diploma; a bachelor's degree is preferred

-Candidates applying should be comfortable with community outreach, problem-solving, active communication, and time management

-Requires a minimum of one year of experience with a non-profit organization, or two years of customer service experience

-Must possess a valid state Driver's License, in force automobile liability insurance, and maintain a Motor Vehicle Record (MVR) that meets organization's insurability standard as defined by DCCCA policy. Availability of reliable transportation is required for this position.

-Passion for creating community change at a prevention/"upstream" level

-Comfortability and joy for connecting community members to prevention, recovery, and harm reduction services

-Possesses self-starter skills with the ability to collaborate as needed

-Outstanding interpersonal skills with a desire to network and build new relationships

-Effective listening, oral, and written communication skills, including face-to-face, on-site, in person discussions. Exercises appropriate use of positive language.

-Able to interact with a variety of interest and cultural groups

-Professional demeanor and attitude required

-Experience creating flyers, social media graphics, and email newsletters utilizing software such as Canvas, Constant Contact, or Adobe Creative Cloud preferred but not required.

-Potential opportunity to facilitate trainings if desired but not required

-Intermediate to Advanced Proficiency with computers and Microsoft suite of products including Microsoft Word, Outlook, Excel, and PowerPoint.

-Ability to efficiently operate other office equipment such as telephones, voicemail systems, copy and fax machines, and scanners.

-Vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Travel

-This position requires travel, which may include driving personal or company-owned vehicles.  Note: Even with a valid driver's license, certain motor vehicle infractions may render individual's ineligible to drive company-owned or personal vehicles for company business. Such infractions may also disqualify employees from continued employment with DCCCA, Inc.  This is a safety sensitive position.
